SnagACall privacy notice

Effective October 5, 2026.

EarlyCo, Inc. operates SnagACall. This notice covers the website research behind our postcards, the postcard demo, SnagACall customers and the callers who reach a customer's business through SnagACall, as well as setup requests, the private text demo, earlier pilot signups, free line test requests and weekly line checks.

Business research and outreach

To find local service businesses that may want SnagACall, we start from open map data (Overture Maps Foundation): business names, addresses, phone numbers, websites and categories. Then our crawler, which identifies itself as SnagACallResearch, reads the public website of each business. It checks robots.txt first and follows it, then reads the homepage and up to three more pages, such as contact, about and services. From these pages we note the services, service area, hours and languages the business lists, the owner's first name when the site gives it, and signs such as 24/7 answering, an answering service or a chat widget. Anthropic's Claude may be used to read the page text and pull out these details. More on how the crawler works is on our research page.

We also keep public business email addresses from these sources. We use this information to choose businesses to contact and personalize an email, postcard and demo for each business. We send individual business introductions through Google Workspace and keep contact history, replies, follow-up plans and opt-out records in our private Cloudflare database. To stop these emails, reply no thanks or email hello@snagacall.com. Lob prints and mails our postcards and receives the business name and mailing address to do so. We don't sell this information. To stop postcards, or to ask us to delete what we collected about your business, email hello@snagacall.com. We keep a short do-not-contact entry, such as your business phone, website or email, so we don't research or mail you again.

Postcard demo calls

Each postcard has a six digit code. When someone opens the demo page for a code, we log the visit against that code with only a rough device type, such as iPhone or Android, and the campaign labels in the link that opened the page, such as utm_source, if it has any. When someone taps Call on that page, we note the tap against the code for a few minutes, so the call that follows reaches the right demo without typing the code. We don't store IP addresses for these visits or taps.

The demo page says, directly under the Call button, that you'll talk with an AI demo and that the call is transcribed. By tapping Call and staying on the line, you agree to that. The AI's first sentence on the call repeats the notice. If you dial the demo line yourself and enter the code from your card, the call starts the same way. If we match your caller ID to a business we mailed, you first hear the notice and press 1 to start. Say stop at any time, or press 9, and we won't contact you again. Twilio carries the call. ElevenLabs processes the live audio and produces the conversation transcript and summary, and the AI's replies are generated by Anthropic's Claude through ElevenLabs. Our settings don't keep an audio recording, and ElevenLabs deletes the transcript after 30 days.

We store, against your card's code, the call time, the number you called from, the summary and the details from the call, such as the customer you played. If you ask, we also store the email address you give for the example summary or a setup link, and a request for Max to call you, with the best number and time. Max reviews call requests before anything is sent. If the call describes a job and we have a business email address on file for your code, we may email that example summary to that address, through Resend, the same way real summaries are delivered. A setup link you ask for on the call goes to the address you give or, if you agree, the one we have on file. We remove the summary, the call details and these requests from our own records 30 days after the call, and keep only the code, the kind of event and its time. If you opt out, we add the number you called from and the business's number to our do-not-contact list at once, and keep that entry so we can honor it.

Self-serve demos

On snagacall.com/try and our homepage, you can find your business by name and set up a demo yourself. The list you search holds public business details from the sources above: the business name, city, state, trade, public phone number and website, and what its website says about its services, area and hours. It holds no owner names or email addresses. When you choose a business, or give us its website, name, trade, city and state, you confirm that you own it or can sign it up. If we haven't read that website before, our crawler reads its homepage and up to two more pages, the same way as above, and Anthropic's Claude may read the page text to pull out the services, area and hours the demo uses. The demo page and the call then work as in Postcard demo calls above, with a new six digit code.

For these pages we keep the visit, searches, the business chosen and each demo set up, with a rough device type and the ad campaign labels in the link you followed (such as utm_source). We don't store IP addresses. To limit misuse, we count demos set up from each connection using a one-way hash of the IP address and the hour, and delete that count within two hours. A business on our do-not-contact list can't be set up this way.

Ads and measurement

When we run ads on Facebook or Instagram, snagacall.com/try may use the Meta Pixel to measure them. It tells Meta that the page was viewed and whether a demo was set up, with the demo's code as a reference so the same event isn't counted twice. Meta collects what its pixel normally does, such as the page address, your browser and device, your IP address and its own cookies, and handles it under the Meta Privacy Policy. We don't send Meta your business name, phone number or email address. The Meta Pixel isn't used on our other pages or on the demo page itself.

Callers to our customers' businesses

When someone calls a business that uses SnagACall and the call isn't answered, the call forwards to a phone number SnagACall runs for that business, and an AI receptionist answers in the business's name. At the start of the call it says it is an AI assistant and that the call is recorded. By default we keep the call as a written transcript, not as an audio recording. We process the caller's phone number, the time and length of the call, what the caller says, and the details the receptionist takes down: name, callback number, address, the problem, how urgent it is, a good time to call back and the language they spoke.

Twilio carries the call. ElevenLabs processes the live audio, turns it into text, runs the receptionist and produces the conversation transcript and summary. Our settings tell ElevenLabs not to keep audio and to delete the transcript after 30 days. We email the business a summary of each call through Resend. The business receives the caller's number and the details above. To decide whether a call counts as a lead the business pays for, we may also send the call's summary and transcript to OpenRouter or Vercel AI Gateway and TypeSafe AI, which classify it and don't reply to anyone. We keep call records, such as the time, the caller's number and whether the call counted as a lead, along with the summary, as long as needed to provide and bill for the service, troubleshoot, honor requests and meet legal obligations.

We use this information only on behalf of that business, to answer the call and pass the message on. We do not sell it and we do not use it to market SnagACall to callers. To ask about or delete information we hold, email hello@snagacall.com. We may refer requests about a business's own customer records to that business.

Businesses with missed-call texting. Some businesses have SnagACall text back missed callers instead. For those, a short automated greeting says the business will text the caller and that calls and messages may be recorded, and the caller can leave a voicemail. We then process any key the caller presses during the greeting (for example, to skip or ask for the text), any voicemail (the recording, and a transcript when transcription is turned on), the texts we send, the caller's replies, delivery status and opt-out records, and send the business a short summary with a link to any voicemail. Twilio carries calls and messages and stores voicemail recordings and transcripts. An automated classifier, run through Vercel AI Gateway and TypeSafe AI, reads the conversation to sort the request, for example what the job is and how urgent it sounds. It does not write replies. Cloudflare hosts and stores the service, and Resend delivers summaries to businesses that get them by email. Mobile numbers and SMS opt-in data are not shared with third parties or affiliates for their marketing or promotional purposes. Callers can reply STOP to stop texts from a business or HELP for help, and we keep opt-out records so we can honor them. Voicemail links sent to a business stop working after 30 days.

SnagACall customers

When you request setup on snagacall.com, we collect your business name, trade, business phone, name, email, the time of the request and the exact consent you accept, and we store it with Cloudflare. Max uses it to contact you and set up your receptionist, including reading your business's website. A setup request does not collect payment or authorize marketing texts.

When a business subscribes, Stripe processes the payment and sends us the checkout details we need, such as the email address and subscription status. We don't receive full card numbers. To set up and run the service we keep the business details you give us, such as the name customers see, trade, services, service area, hours, business phone line and carrier, and the owner's name, mobile number and email. Twilio provides the phone number we set up for the business. We send call summaries, line test alerts and weekly reports by email through Resend, and by text through Twilio only to owners who agree to texts. If a business also chooses missed-call texting, we send its business details, EIN, address, website and the authorized representative's contact details to Twilio, which submits them to The Campaign Registry and the carriers. We use this information to provide, bill for and support the service and to meet legal obligations. Customers can request access, correction or deletion at hello@snagacall.com. We keep what we need for billing, consent and legal records.

Weekly line checks for customers

Customers who agree at signup get a short weekly test call to their business line. SnagACall places it to confirm that unanswered calls still forward and that SnagACall still answers them. If someone answers, they hear a short automated message that it is the SnagACall line test, and the call ends. We keep the time, result and delivery status of each check, and use them to send the customer a report and to troubleshoot. A customer can stop weekly checks by emailing hello@snagacall.com, though we then can't confirm the line is working.

Sales conversations and setup requests

If you call our sales number, we identify SnagACall and offer an AI assistant. Before connecting, the greeting explains that ElevenLabs and SnagACall process and transcribe the conversation, and asks you to press 1 to agree. You can use our website or email instead. You can press 9 before connecting, or tell the assistant to stop contact. We do not record callback audio or offer voicemail on this sales line.

Twilio carries the call. After you agree, ElevenLabs processes live audio and produces the conversation transcript and summary. Cloudflare stores the full transcript and any follow-up request you authorize, such as your email and the question you want answered. Access is restricted to our operators and service providers. Sales transcripts are retained for 30 days; consent and opt-out records may be retained longer so we can honor your choices. We use these records to answer your questions, improve the sales experience and handle requested follow-up. Do not provide card details or other sensitive personal information to the assistant.

For setup requests, we collect your business name, trade, business phone, name, email, request time and the exact consent you accept. We use these details to review your setup and contact you about it. A request does not collect payment or authorize marketing texts. Inbound texts and draft responses are stored for operator review; an automated business text-back does not give us marketing permission. To stop contact, reply STOP to a text, press 9 on a callback, tell the assistant, use your results-page opt-out link or email hello@snagacall.com. Contact that address to request access, correction or deletion.

Businesses we test and contact

Separately, to find local service businesses that may want SnagACall, EarlyCo builds a list of businesses from public license records (such as the Texas Department of Licensing and Regulation and the Texas State Board of Plumbing Examiners), open map data (Overture Maps Foundation) and business details we look up by hand. We keep the business name, license details, city and county, the public business phone number, its line type (looked up through Twilio), whether it is listed on the National Do Not Call Registry, and sometimes a Google place ID. We don't keep phone numbers, hours or reviews from Google.

We place up to three short test calls to some of these businesses, on different days and between 9am and 8pm local time, to see how a call that isn't picked up is handled. A person from SnagACall is on the line while these calls are placed, so anyone who answers talks with a real person. We don't leave voicemails and we don't record these calls. We note when each call was placed, how long it rang, whether it was answered or went to voicemail, and any text or call the business sends back to our test number, including its content. We may show a business its own results on a private, unlisted web page, include them without names in totals such as the share of businesses that texted back, and contact the business about SnagACall.

Free line test requests

When you ask for a free line test on snagacall.com, EarlyCo collects the business name, business phone number, your name, email address and trade, the time of the request, and the exact consent statement and version you accepted. Cloudflare stores this information and delivers an internal notification to our support inbox. We use it to confirm the request, place up to three short test calls to the business line you gave us, email you the results and follow up with you about SnagACall. We use short-lived, hashed rate-limit records to protect the form.

Test calls go only to the business line named in a request from someone who confirms they own or manage it. For each test call we keep the time and the outcome, such as whether it was answered or went to voicemail, and any call or text the business line sends back to our test number, including its content. We don't leave voicemails and we don't record the audio of test calls. If someone answers, they hear a short automated message that it is the SnagACall test that was requested, and the call ends. Twilio places the calls and carries any replies, and Resend delivers the results email. To cancel a test or delete a request, email hello@snagacall.com.

Private demo

The SnagACall private demo is a demonstration of missed-call textback and inquiry qualification. ABC Air Conditioning is a fictional demonstration business.

We collect the phone number you voluntarily provide, your consent and opt-out records, test-call metadata, text messages, answers, and delivery status. We use this information to run the demo, ask qualification questions, create a summary for the demo operator, honor your choices and troubleshoot delivery.

Twilio processes calls and messages. Vercel AI Gateway and TypeSafe AI process message text and conversation context to classify intent, urgency and timing; the classifier does not write replies. Your phone number and answers are included in the summary sent to the separately opted-in demo operator. Do not send payment details, health information, identification documents or other sensitive information; use fictional repair scenarios.

We do not sell personal data or share mobile information with third parties or affiliates for marketing or promotional purposes. SMS opt-in data and consent are not shared with third parties for their own use. Service providers process data only as needed to provide the service, and we may disclose information when legally required.

Access to the demo's stored data is restricted to its operator and service providers supporting the demo. You may request access, correction or deletion by emailing hello@snagacall.com. We retain data only as needed to operate the demo, document consent and opt-outs, troubleshoot or meet legal obligations. Provider retention is also governed by the applicable provider policies.

Reply STOP to stop demo texts. Opt-out records may be retained to prevent further messages. The demo is for invited adults. Participation is voluntary. Contact hello@snagacall.com with privacy questions.

Pilot signups

For business pilot requests, EarlyCo collects business name, trade, owner name, business phone, lead-card mobile, email, signup time and the exact consent disclosure accepted. Cloudflare stores this information and delivers signup notifications to our support inbox. We use it to review eligibility, contact you about setup, operate your pilot and document consent. We do not collect card details at signup. Stripe processes optional post-pilot payments.

We keep signup records only as needed for setup, service, consent and legal obligations. Request access, correction or deletion at hello@snagacall.com. Signing up a business does not authorize texts to its customers; their consent must be collected separately. We use short-lived rate-limit records to protect the signup form.
